    Artlogic Media Limited (together with its affiliated companies, “Artlogic”) is committed to protecting and respecting the privacy of job applicants and candidates. This Candidate Privacy Notice explains how we collect and use your personal information when you apply for roles with Artlogic or otherwise engage with us in connection with recruitment.

    Artlogic acts as a data controller in relation to personal information processed for recruitment purposes.


    1. Information we collect about you

    We may collect and process the following types of personal information about you in connection with recruitment activities.

    1. Information you provide to us. You may provide us with personal information when you:

    • apply for a role (directly or via a recruitment agency or platform)

    • submit a CV, résumé, cover letter or application form

    • participate in interviews, assessments or tests

    • correspond with us by email, phone or otherwise

    • provide references or background information.

    The information you provide may include:

    • name, contact details and address

    • employment and education history

    • qualifications, skills and experience

    • salary expectations, notice period and availability

    • assessment results

    • references and referee contact details

    • other general information discussed in interviews.

    1. Information we collect from other sources. We may receive personal information about you from:

    • recruitment agencies or job boards

    • referees you have nominated

    • publicly available sources (such as LinkedIn)

    • background check providers, where legally permitted.

    1. Special category data. In limited circumstances, we may process special category data where necessary and permitted by law, for example:

    • information relating to health or disability for reasonable adjustments

    • diversity information, where collected separately and on a voluntary basis.

     

    2. How we use your information

    We use your information in the ways explained in this section. Our legal bases for processing your information include (i) taking steps at your request prior to entering into an employment contract, (ii) our legitimate interests (including managing recruitment and selecting suitable candidates), (iii) complying with legal obligations and (iv) (in certain cases) your consent (including where you ask us to retain your details for future opportunities).

    1. Information you provide to us and information we collect from other sources. We use this information to:

    • assess your suitability for roles at Artlogic

    • manage and administer the recruitment processes

    • communicate with you about your application

    • verify information you have provided

    • comply with legal or regulatory obligations

    • maintain recruitment records and improve the hiring processes

    • with your consent, keep your details on file for future opportunities.

     

    3. When we may disclose your information to others

    We may share your information with other companies in our group in relation to processing activities described above.

    We may share your information with selected third parties who support our business, including:

    • recruitment agencies and recruitment technology providers

    • service providers supporting our recruitment processes

    • background check providers, where applicable

    • IT, cloud and systems providers who process data on our behalf

    • legal, regulatory or governmental authorities where required by law.

    All such sharing and disclosure is subject to the provisions of this Privacy Notice.

     

    4. Where we process your information

    Artlogic is based in the UK and US. Your information may be transferred to, processed in and/or stored in locations in these countries, the European Economic Area ("EEA") or outside the EEA. 

    Whenever we transfer personal information to other jurisdictions, we will take all steps reasonably necessary to ensure that the information is transferred in accordance with this Privacy Notice. If information is transferred to a country that does not provide an adequate level of protection for personal information (including under UK and EU GDPR), we will take appropriate measures to protect the data in accordance with applicable data protection laws. 

     

    5. Security and retention of your information

    We use appropriate technical, organisational, and administrative measures to protect information that we process and store from loss, misuse, unauthorised access or disclosure, and alteration. Where we export or analyse information outside of our core systems (for example, in spreadsheets), we take steps to ensure this information is handled securely.

    We keep your information for no longer than is necessary for the purposes it was collected for. The length of time we retain your information is determined by operational and legal considerations and best practice:

    • Unsuccessful candidates: typically up to 12 months following the end of the recruitment process, unless you consent to longer retention.

    • Successful candidates: relevant information will be transferred to your employee record and retained in accordance with our employee privacy notice.

    The internet and IT systems are not completely secure. We cannot guarantee the security of your information transmitted to our website or services: any transmission is at your own risk. We protect your information that we hold using the measures explained above.

     

    6. Your rights

    Where applicable, you have the right to ask us not to process your personal data in certain circumstances. We will inform you, where relevant, if we intend to use your data for purposes that require consent.

    Where we rely on your consent for the processing of your information (for example, to retain your details for future recruitment opportunities), you can withdraw that consent at any time.

    You also may have other rights under UK, EU and other data protection law, including (and subject to certain limitations):

    • access to details of your personal information that we hold, and correcting any errors in it

    • revoking consent you have provided for processing of your information

    • erasure of your information or restriction of our processing of it

    • objecting to certain processing activities

    • moving your information to another service provider.

    7. Links to other websites

    Our website contains links to and from the websites of our partners and other third parties. We do not accept responsibility for the processing of your information by these other entities. Please check the privacy policies of other entities before you provide information to them.

    If you are not happy with our processing of your personal data after raising concerns with us, you have the right to complain to the UK Information Commissioner’s Office (ICO). You may also have the right to complain to data protection authorities in your own country.

    Any changes we may make to this Privacy Notice will be posted on this page and, where appropriate, communicated via our recruitment channels.
